Responsibilities

Responsible for providing administration and coordination to various projects in support of the classified program or contract.  Provides scheduling, support and escorts to facilities for specific projects in classified buildings in accordance with outlined goals.  Performs daily office functions, makes proper referrals, and arranges meetings within the classified environment.  Works closely with Special Security regarding classified policies and procedures, visit requests, escort requirements and restrictions. Gathers, compiles and creates reports relevant to the supervisor’s assignment.

KEY FUNCTIONS:

  • Ensures classified buildings are properly maintained and managed.
  • Provide necessary escort services as required for building maintenance, movers, job walks, etc.
  • Act as liaison between facilities maintenance personnel and the internal classified customers.
  • Submit and track facilities service work order requests through Web TMA for the Military, Government, and Aerospace.
  • Back up POC to Facilities Building Coordinator and Building Operations Manager.
  • Address caller’s needs, assists as needed for special moves, personnel relocations and coordination with building occupants.
  • Assists overseeing building construction projects and facilities infrastructure improvements.
  • Meet regularly and assist Facilities Project Leaders in providing escorts for building construction projects.
  • Responsible for forecasting the scheduling of all escorts for construction projects in A5, including changes, updates and notifications.
  • Confirms accuracy of escort timesheets and submits to payroll.
  • Communicates with Government, Military, and Aerospace residents about upcoming maintenance, outages and announcements.
  • Creates an accounting of resident logistics of government to Aerospace ratio for auditing.
  • Interacts regularly with Security Guards, Safety, EIS, AV, Janitorial, Maintenance, Special Security, Aerospace Planning, Design & Construction and the NSG and ETG East Coast management.
  • Supports Board of Trustees, Distinguished Visitors, Foreign Nationals, NSG General Managers, and other high-level visitors in classified buildings.
  • Operate PC’s scanners, copiers, maintain office supplies and re-order when necessary.
  • Regular, daily office support to Aerospace Management and residents in A5.
  • While performing the duties of this job the employee may visit construction zones with uneven floor surfaces, loud noise or dust

Qualifications

 Required

  • High School Diploma or equivalent

  • Experience in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, SharePoint, Web TMA, and Archibus,

  • 8 or more years of relevant administrative, project coordinator, or project support experience

  • Ability to prioritize tasks and projects 

  • Must have current TS/SSBI OR the ability to obtain one

  • Knowledge of Classified facilities policies and procedures

  • Ability to quickly trouble shoot problems

  • Must work well independently and in a team environment

  • Must be detailed oriented

  • Must possess strong organizational skills

  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations

  • Demonstrated flexibility and ability to adapt to changing organizational needs

  • Strong written and oral communication skills

  • Ability to work under minimal supervision, to self-initiate activities and to work within timelines

  • Must possess time management and project management skills

  • Ability to sit or stand for extended periods of time

  • Ability to use a computer to complete assignments

  • Ability to communicate with individuals and groups in person by phone and telepresence
