Responsibilities

SUMMARY OF RESPONSIBILITIES:

The Security Admin Specialist is a part-time position.  The selected candidate will report to the Special Programs Security Director, and will assist and support the Security Staff with the day-to-day interpretation, implementation, enforcement, and execution of the National Industrial Security Program Operating Manual. 

The position also requires the Admin Specialist to prepare collateral visit certifications, maintain document control, and key support control. Performs JPAS duties and supports Security Staff with coordinating annual security training, security orientation briefings and debriefings. Prepare travel arrangements for the Special Program Security Director, construct check requests, interface and coordinate with shredding company, escorting and schedule weekly staff meetings.  Generates security related correspondence with other general office duties as needed.

KEY FUNCTIONS:

  • Input Collateral Visit Requests into JPAS and letter format as required by the customer
  • In charge of organizing, maintaining and filing all documents into employee’s and consultant’s security personnel folders
  • Document and make Special Programs Security Director’s travel arrangements
  • Construct check requests and submit as required
  • Work with staff regarding the collection of Security Newsletter articles
  • Organize visit requests on excel spreadsheet, and filing them into the respective binder
  • Arrange shred cycles and escort company representative as needed
  • Assists in the destruction of classified materials
  • Oversee and maintain office key control logs and disbursement to current and new employees
  • Support Security Staff with updating and providing Intrusion Detection System (IDS) cards to office personnel and Senior Management
  • Support Security Staff with organizing Security Brown Bag Luncheons
  • Assist Special Programs Security Director with completing the DoD Self-Inspection
  • Assists Security Staff with preparing the necessary paperwork in support of a DSS investigations or annual vulnerability assessments
  • Assist Security Staff with document control and GSA container maintenance
  • Keep monthly stats report updated
  • Input information on share drive (i.e. clearance roster, material log information, document accountability and visits)
  • Assist team with covering the front desk during receptionist breaks and other administrative duties as needed
  • Maintains all security documentation, charts, files and binders in accordance with DSS requirements
  • Coordinates pickup and delivery of classified documents
  • Other duties as required

Qualifications

REQUIRED QUALIFICATIONS:

  • High School Diploma or equivalent
  • 3+ years of progressive experience in security administration  
  • JPAS/JCAVS Certification from CDSE
  • Knowledgeable of NISPOM
  • Ability to interface effectively with all levels of management and customers
  • Proficiency with MS Office Suite
  • Proven Oral and Written Communication
  • Ability to obtain and maintain a US Government security clearance
  • Ability to interface effectively with all levels of management and customers
  • Works well in a team environment with confidentiality
  • Strong attention to detail
  • Ability to multi-task in a fast-paced environment


PHYSICAL REQUIREMENTS/WORK ENVIRONMENTS

  • Ability to sit or stand for extended periods of time.
  • Ability to use a computer to complete assignments.
  • Ability to communicate with individuals and groups in person, by phone and telepresence.
  • While performing the duties of this job, the employee will typically work in an office environment.
  • Some lifting required.
