The Administrative Specialist III performs office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to the supervisor's assignment.




  • Prepares, formats compile, store and distribute various reports, memos, forms and correspondence such as highlights, budget information, schedules and deadlines
  • Create, update, and maintain electronic and manual filing systems.
  • Assists employees with travel arrangements including transportation and hotel accommodations. Processes travel expense reports in a timely manner
  • Prepares purchase requisitions following through approval process and delivery of material.
  • Schedules meetings and reserves conference rooms. Coordinates and supports certain meetings including obtaining clearances and badges for visitors. Sets up conference rooms and arranges necessary media.
  • Orders office supplies. Monitors printers and copiers for supplies and maintenance.
  • Use Microsoft software including Outlook, Word, Excel and Powerpoint as well as OurSpace (Office365): SharePoint, OneDrive, OneNote and Delve
  • Use corporate intranet, electronic document management tools including Aerolink, online travel systems, corporate report publishing system, time reporting system, and procurement system
  • May organize, provide, and coordinate incoming and outgoing mail and shipments
  • May provide back-up to higher level administrative support




  • Six (6) or more years of relevant experience with High School Diploma or equivalent
  • Experience in Microsoft Office applications including Outlook, Word, PowerPoint, Excel and Office365 products
  • Typing and proofreading skills
  • Must be detailed oriented and must have bility to prioritize tasks and projects
  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations
  • Demonstrated flexibility and ability to adapt to changing organizational needs
  • Demonstrated initiative, ability to learn quickly and the ability to work independently
  • Strong written and oral communication skills
  • Ability to represent the company favorably to customers and visitors
  • Ability to exercise sound judgment
  • This position requires the ability to obtain and maintain a security clearance, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance





  • Knowledge of corporate policies, practices, travel, and procurement
  • Advanced proficiency in Microsoft Office including collaborative tools such as SharePoint and Skype for Business
  • Familiarity with web design a plus
