We are seeking an Administrative Specialist to support the Reconnaissance Systems program office in our Chantilly, VA location.  Primary duties entail effective administration of a large and diverse organization.  You will perform office functions such as setting up and maintaining files; arranging meetings and conferences; and receiving, referring, or answering mail.  You will also provide guidance and assistance to the staff and coordinate and follow through on actions.  Additionally, you will review drafts and finished documents for appropriate grammatical usage and answer questions relating to office operations and established policies and procedures.

  • Prepares and formats reports, memos, correspondence and forms.
  • Assists employees with travel arrangements and associated expense reporting.
  • Prepares purchase requisitions following through approval process and delivery of material.
  • Schedules meetings and reserves conference rooms and VTC facilities. 
  • Coordinate visit requests including clearances and badging arrangements.
  • Maintains and helps keep current program multiple program access lists.
  • Orders office supplies. Monitors printers and copiers for supplies and maintenance.
  • Maintains Principal Director’s calendar.
  • Maintains team awareness of training and deadlines.
  • Provides back-up to division administrative support.



  • High School Diploma or equivalent
  • Experience in Microsoft Office applications including Word, PowerPoint, and Excel
  • Typing and proofreading skills



  • Experienced in customer service organizations
  • Ability to work well in a team environment
  • Must be detail oriented
  • Ability to prioritize tasks and projects while working efficiently under schedule deadlines.
  • Must possess strong organizational skills
  • Ability to handle multiple priorities and projects at one time
  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations
  • Demonstrated flexibility and ability to adapt to changing organizational needs
  • Strong written and oral communication skills
  • Ability to represent the company favorably to customers and visitors
  • Ability to exercise sound judgment
  • This position requires the ability to obtain and maintain a security clearance, which is issued by the U.S. government.  U.S. citizenship is required to obtain a security clearance.



  • 6 or more years of relevant experience with High School Diploma or equivalent
  • Knowledge of corporate policies, practices, travel and procurement
  • Current or Active TS/SSBI or TS/SCI



  • Ability to sit or stand for extended periods of time.
  • Ability to use a computer to complete assignments.
  • Ability to communicate with individuals and groups in person, by phone and telepresence.
  • While performing the duties of this job, the employee will typically work in an office environment.
  • Some lifting required.
